How to Compare Aesthetic Equipment Quotes

Compare the exact machine, included items, delivery charges and support terms before choosing a quote.

Two equipment quotation sheets and a calculator on a desk near an aesthetic machine.

A headline price tells you little until you know what comes with the machine. Build a simple comparison sheet so you can see where quotations differ and which questions are still open.

Match the equipment first

Record the manufacturer, model and configuration exactly as they appear on each quote. Ask for a written specification for the offered unit. If two photos look alike, check the model references and the included handpieces before treating the offers as equivalent.

Separate what comes in the box

Give the main unit, handpieces, cables and any starter supplies their own rows. Mark each item as included, optional or awaiting confirmation. If a quote lists an accessory without a quantity, ask the supplier to specify how many are included.

Compare the cost to get the unit on site

Put delivery, handling and any agreed installation in separate rows. Ask whether the quoted amount includes each charge and how long the quote is valid. If you expect to order consumables separately, request a price for those so you can compare the opening purchase on the same basis.

Get the support terms in writing

Work through a sample comparison

Suppose Quote A includes delivery and one handpiece. Quote B has a lower machine price and lists two handpieces, but delivery is priced separately. Start by writing down the configuration your team actually needs. If you need two handpieces, ask for an updated Quote A that includes the second one. Then add delivery to Quote B and check whether it covers the same destination and handover point.

If the updated totals are close, compare the remaining differences on their own merits. For example, if one offer includes setup, ask what that means in practice and who provides it. A vague line such as “support included” belongs in your questions column until the supplier confirms what it covers.

Use the same questions for every supplier

  • What exact model and configuration does this quote cover?
  • Which accessories and consumables are included, and in what quantities?
  • What charges or arrangements are still to be confirmed before ordering?
  • When can the supplier dispatch the unit, and when does the quote expire?
  • Who handles service enquiries, and what written terms apply to this offer?

Use one row per answer and keep a copy of each dated quote. If a supplier offers an alternative model, give it its own column. That keeps differences in configuration visible when you discuss the purchase with your team.

Record who handles support, where the unit would go if service were required, and which parts are covered under any stated warranty. Ask the supplier to revise the quote if a detail changes. Share the model reference with IBS Traders when asking about a specific machine.
